Requirements
- 3 years of professional experience in a similar position,
- excellent documentation generation,
- knowledge of English (C1 level),
- demonstrate understanding project governance,
- change management understanding,
- strong communication skills for liaising with team members, stakeholders, and vendors,
- experience in preparing and distributing project reports, status updates, and meeting minutes,
- the ability to problem solve and troubleshoot within a busy environment,
- attention to detail,
- team working skill.
Responsibilities
- maintain and organise all project documentation, including project plans, schedules, reports, meeting minutes, and correspondence,
- ensure all documents are up-to-date, appropriately versioned, and accessible to project stakeholders,
- assist in the creation and maintenance of project plans, schedules, and timelines,
- coordinate project tasks and activities, ensuring that deadlines are communicated and met by team members,
- act as a point of contact for project team members and stakeholders, ensuring smooth and timely communication,
- organize and schedule project meetings, prepare agendas, take minutes, and follow up on action items,
- assist in preparing and distributing regular project status reports and updates to stakeholders,
- help monitor and log project risks and issues, ensuring they are communicated to the project manager and stakeholders,
- assist in following up on risk mitigation actions and issue resolutions,
- ensure that project teams have the necessary equipment and materials to carry out their tasks effectively,
- liaise with vendors to ensure that project-related goods and services are procured according to project requirements and timelines,
- assist in managing the procurement process, including raising purchase orders, tracking deliveries, and ensuring that items are ordered and received on time,
- monitor and track vendor performance, ensuring compliance with contract terms and addressing any issues or delays,
- coordinate with finance to ensure timely processing of vendor invoices and payments, maintaining accurate records of procurement activities,
- assist in managing change requests, ensuring they are properly documented, assessed, and tracked,
- support the communication of approved changes to relevant stakeholders.
