YOUR ROLE
As an Event Manager based in Kraków, you will join the Capgemini marketing team to manage and orchestrate events during all phases of the event lifecycle. Together with marketing leaders and business executives, you will shape Capgemini’s presence at events. You will be
responsible for planning, organizing, and executing various events and conferences within Capgemini. Your primary goal will be to create impactful and successful events that align with our business and marketing objectives and enhance our reputation. From the early planning stages to program development, execution, and post-event analysis, you will play a key role within our marketing and communications team.
You will collaborate and engage with executive teams, marketing teams, and experts across the business. As an Event Manager, you will manage pre-event planning, bringing together appropriate team members throughout planning phases to collaborate on strategies, ideas, and plans. You will own the event design and creative delivery workstream, have visibility into the event budget, and own all event-related project management. The Event Manager will create timelines and identify contingencies across event workstreams. You will collaborate with core team members to develop communication plans and event materials for internal delegates. The Event Manager is also responsible for completing each project and leveraging data to improve future events and sales opportunities.
YOUR PROFILE:
- Event planning, management, and execution experience within an international organization
- Ability to manage all aspects of event logistics, including budgeting, vendor management, and on-site coordination
- Ability to think strategically about event planning and objective alignment
- Strong communication and interpersonal skills (including facilitation, stakeholder management, and expectation setting)
- Strong project management skills
- Experience managing and collaborating with a diverse group of senior leaders, marketers, and marketing professionals
- Experience leading the creative process with designers, content marketers and/or external agencies
- Ability to understand and balance requirements to ensure events satisfy the team and brief throughout entire event process
- Vendor and supplier management and negotiation experience
- Creativity and innovation in event planning, design, and execution
- Demonstrated leadership skills
- Attention to detail
- Strong passion for travel
- Comfortable working under tight timelines to meet multiple deadlines
- Motivated and inspired to improve the bottom line, processes, and ways of working
- Flexibility to work across time zones
- Fluent in English
- At least a Bachelor's degree required
YOUR TASKS:
- End-to-end management and orchestration of events
- Translate business objectives into inspiring and engaging event experiences
- Plan and maintain event calendar (industry, analyst, partner events) for attendance and sponsorship while keeping business objectives in mind
- Prepare meetings, organize guest speakers, and order event supplies
- Manage conference sponsorships and calculate budgets
- Research and conduct negotiations with venues, vendors, suppliers, and travel organizations
- Lead the event creative stream: responsibility for production of marketing collaterals and event branding
- Utilize different channels such as internal communications, campaigns, web, and social media to publicize and promote events
- Collaborate with sales teams and SMEs to set objectives, select topics, support the creation of supporting materials, and follow up on ROI
- Liaise with external vendors and agencies, and internal legal and finance teams
- Create event reports with event highlights (for executives and participants)
- Report event outcomes and suggest improvements for future delivery
